Privacy Policy

1. What we collect

When you sign up, we collect:

• Your name and business email address
• Your company name and workspace name (subdomain)
• Payment information — processed directly by Stripe; we never see or store your full card number

When you use QuoteTime, we store:

• Job descriptions you type into QuoteTime
• Estimates, quotes, and invoices drafted by the AI and approved or edited by you
• Customer names, contact details, and addresses you enter
• Usage logs — actions, timestamps, and receipts within your workspace
• Basic session data (browser type, IP address) for security and debugging

2. How we use it

We use your data to:

• Provide and operate the QuoteTime service
• Draft estimates and invoices from your job descriptions using AI
• Send transactional emails (workspace setup, password reset, payment receipts) via Resend
• Process subscription payments via Stripe
• Debug problems and keep the service secure

We do not use your data for advertising. We do not sell your data to anyone, ever.

3. AI and your job data

QuoteTime sends your job descriptions to an AI model to generate draft estimates and invoices. We use reputable AI infrastructure providers with data processing agreements in place. We do not use your job data to train AI models without your explicit permission.

4. Who we share data with

We share data only with the services needed to run QuoteTime:

• Supabase — database and file storage. Your workspace data lives on Supabase infrastructure.
• Stripe — payment processing. Stripe handles all card data under their own PCI-compliant infrastructure.
• Resend — transactional email delivery (workspace activation, password reset, receipts).
• Vercel — application hosting.

We do not share your data with anyone else without your consent, except when required by law.

5. Data retention

Your workspace data is retained while your subscription is active. After you cancel, data is kept for 90 days so you can export it if needed. After 90 days, workspace data may be permanently deleted.

Payment records (receipts, billing history) are retained as required by law. Basic usage logs may be retained for up to 12 months for security purposes.

6. Your rights

You can request a copy of the data we hold about you. You can request correction of inaccurate data. You can request deletion of your account and data (subject to retention obligations above).

To make any of these requests, email bill@billbarger.com. We respond within 30 days.

7. Security

We use industry-standard practices: HTTPS everywhere, bcrypt-hashed passwords, row-level security on the database, and per-workspace data isolation. No security measure is perfect, but we take it seriously.

If you discover a security issue, please email bill@billbarger.com before disclosing it publicly.

8. Cookies

QuoteTime uses session cookies to keep you logged in. We do not use third-party tracking cookies or advertising pixels. No cookie consent banner needed — these are strictly functional cookies.

9. Changes to this policy

If we make material changes to this policy, we will notify you by email at least 14 days before the changes take effect. The current version is always available at quotetime.app/privacy.
